Schedule: Primarily weekdays, with some evenings and weekends based on scheduled programming.

Position Summary
Dreamer Wellness Center is seeking an organized, proactive, and customer-focused Experiential Programs & Client Experience Manager to lead the planning, coordination, promotion and successful delivery of our special programming.

Dreamer Wellness Center offers distinctive wellness experiences that incorporate nature, animals, reflection, movement, creativity, and meaningful human connection. Programs may include workplace wellness workshops, corporate retreats, women’s reset experiences, forest bathing, equine and animal-based activities, community programs and private group experiences.

This person will take ownership of each program from initial planning and promotion through registration, delivery, and participant follow-up. The ideal candidate is someone who can turn an idea into a well-organized, thoughtfully executed experience while ensuring that every participant, corporate client, and community partner feel welcomed, informed and cared for.

This is a highly independent, hands-on role for someone who takes initiative, anticipates needs, and understands that excellent programming requires both meaningful content and exceptional execution.

This is a nonclinical position and does not provide therapy or mental health treatment.

Key Responsibilities:
Program Planning and Development:
  • Work with the CEO and other team members to develop new programs and strengthen existing offerings.
  • Help translate program ideas into clear agendas, participant experiences, timelines and repeatable formats.
  • Coordinate the planning and execution of workplace wellness programs, retreats, special events, community programs and private group experiences.
  • Create detailed program plans, schedules, checklists, and supporting materials.
  • Ensure that programs remain aligned with Dreamer Wellness Center’s mission, values, and brand.
  • Identify opportunities to expand, improve, or adapt programming based on participant feedback, community needs, and business opportunities.
  • Help document program processes so successful offerings can be consistently repeated and expanded.
Program Leadership and Delivery:
  • Serve as the primary on-site lead for assigned programs and events.
  • Recruit, secure, and supervise interns to assist in marketing and workshop programs.
  • Take responsibility for the overall organization, flow, and success of each experience.
  • Welcome participants and clearly communicate schedules, expectations, and logistical information.
  • Coordinate program spaces, supplies, refreshments, materials, facilitators, and activity transitions.
  • Ensure that everyone involved understands their responsibilities before a program begins.
  • Monitor the participant experience throughout each program and address questions or concerns promptly.
  • Anticipate potential problems and make calm, thoughtful decisions when schedules, weather, animals, or participant needs require adjustments.
  • Support a safe and professionally managed environment.
Registration and Participant Communication:
  • Manage program registrations from initial inquiry through final follow-up.
  • Respond promptly and professionally to participant questions.
  • Provide clear confirmation, preparation, and reminder communications.
  • Maintain accurate participant lists, contact information, attendance records and relevant program details.
  • Communicate weather changes, schedule updates, cancellation information, and other time-sensitive details.
  • Ensure that participants understand what to expect, what to bring, and how to prepare.
  • Gather participant feedback and identify opportunities to improve future experiences.
  • Build systems that make registration and communication efficient, consistent, and customer friendly.
Corporate Client Relationships:
  • Serve as a primary point of contact for workplace wellness and corporate clients.
  • Respond to inquiries and help prospective clients understand Dreamer Wellness Center’s offerings.
  • Learn about each organization’s goals, challenges, and desired outcomes.
  • Help recommend appropriate program formats in consultation with the CEO.
  • Coordinate dates, schedules, group information, program details, and participant communication.
  • Maintain organized records of client conversations, commitments, and follow-up needs.
  • Build professional, responsive and trusted relationships with organizational leaders and client contacts.
  • Identify opportunities for repeat programs, expanded engagements and long-term partnerships.
  • Represent Dreamer Wellness Center professionally in meetings, tours, community events, and client conversations.
Marketing and Program Promotion:
  • Help develop and implement promotional plans for upcoming programs.
  • Coordinate program descriptions, event listings, email communications and promotional materials.
  • Contribute to Dreamer Wellness Center’s social media presence.
  • Assist in the creation of social media content related to programs, events, participant experiences, and the Dreamer Wellness Center environment.
  • Work collaboratively with others supporting marketing rather than serving as the sole person responsible for all organizational marketing.
  • Ensure that program information is accurate and consistent across the website, registration platforms, social media, and other promotional channels.
  • Identify community calendars, organizations, and partnerships that could help increase awareness and participation.
  • Monitor registration activity and adjust promotional efforts when additional outreach is needed.

Required Qualifications:
  • Experience in program management, event management, hospitality, retreat programming, community engagement, corporate wellness, recreation, nonprofit programming or a related field.
  • Demonstrated ability to independently organize and lead programs, events, or complex projects.
  • Exceptional organizational skills and careful attention to detail.
  • Excellent written, verbal and interpersonal communication skills.
  • Ability to manage multiple programs, deadlines, and priorities simultaneously.
  • Ability to work independently, exercise sound judgment, and take initiative.
  • Experience creating or supporting social media and digital marketing content.
  • Comfort using registration systems, email platforms, spreadsheets, shared calendars, social media platforms, and other common business technology.
  • An appreciation for the role that nature, animals, connection and restorative experiences can play in supporting mental and emotional well-being.
  • Willingness and availability to work occasional evenings and weekends based on the program schedule.
Preferred Qualifications:
  • Experience working in a nature-based, animal-based, wellness, retreat or experiential-learning environment.
  • Familiarity with horses or other animals.
  • Experience with social media content creation, photography or short-form video.
  • Experience developing new programs or turning concepts into repeatable offerings.
  • Knowledge of the greater Milwaukee-area business or nonprofit community.

Hands-on horse or animal experience is preferred but not required. Candidates must, however, be comfortable working in an environment that includes animals, outdoor spaces, changing weather, and uneven natural terrain.
